Manage Appointment Changes with Patients

Imagine this:

A patient books an appointment for two days from now, and you accept it. The appointment is queued for that future date, but after chatting with the patient, you realize you're available to consult right now.

So what do you do?

For future situations like this, you can actually just move the booking from the future date to today. That way, you can avoid going through the whole refund process since they technically paid for an appointment and you're simply rescheduling.

In your queue, go to the future date. Click the (...) icon then Move Appointment

Choose a different date to update the appointment details then Save

This feature is also handy for other scenarios, like when a virtual appointment needs to be changed to an in-person consultation at your clinic. Just move the appointment to the clinic and update the date.

If you charge differently for in-person consultations, you can easily collect the remaining balance from the patient, as they’ve already paid through the platform.

When does a booking get automatically cancelled?

A booking gets automatically cancelled by the system if you don't accept a booking request within your set Reply Time Guarantee.

To know your set Reply Time Guarantee:

Go to Clinics ➡️ Clinic Settings

For example, if your Reply Time Guarantee is set to 24 hours:

  • A patient books at 1 PM today.
  • If the booking isn't accepted by 1 PM the following day, the system will automatically cancel it.

What happens if I have a lot of auto-canceled bookings?

When bookings are auto-canceled frequently, the system may interpret this as inactivity. This is because consistent non-acceptance of bookings can signal that you're unavailable to cater to patients.

With that said, your profile may be temporarily hidden. This ensures that the doctors visible on the platform are actively accepting and managing patient appointments.


How to prevent auto-canceled bookings:

Make sure to accept bookings as soon as you get them to avoid cancellations! 😊

Update Your PTR Number

Update your PTR number to correctly reflect your new number when you send prescriptions, lab requests, etc.

On SeriousMD web:

Step 1: Go to My Profile or click here.

Step 2: Update Your PTR Number

Step 3: Click Save


On the iOS app:

Step 1: Go to Profile

Step 2: Click Prescription Information

Step 3: Enter PTR number

Step 4: Click Save

Block off your schedule this holiday season!

Here’s how to quickly add a Day Off or block your schedule this holiday season:

For Web Users:

Step 1: Go to Calendar.

Step 2: Click the + icon.

Step 3: Select Add Day Off.

Step 4: Add a title (e.g., "Vacation"), specify the date range, then Save.

For iOS Users:

Step 1: Open your Calendar.

Step 2: Tap the + icon on the left side.

Step 3: Select Create Day Off.

Step 4: Fill in the details, select the date range, then tap Save.

Note: Ensure your iOS device is synced and connected to the internet so the block-off applies properly.

Another thing you can do:

Create a Public Profile Announcement

  1. Go to My Profile > Public Profile Announcement.
  2. Add your announcement and set the date until when you want it visible.

This way, whenever patients visit your NowServing profile or booking page, the first thing they will see is this pop-up announcement.

Virtual Backgrounds Now Available for Your Online Consultations!

I know you've been waiting a long time for this 🙏 The team has been working tirelessly to bring this to you, and it’s finally here.

If you’re using the SeriousMD app, you can now set a Virtual Background during your calls with patients. 🎉

It's super easy to access:

Step 1: Inside the patient record, tap on the (...) icon and select Start Virtual Consultation.

Step 2: Before starting the call, click on the (...) and choose Select Virtual Background.

Step 3: You can choose from the available backgrounds.

Step 4: Click on the back button on the upper left to return to the call screen and start your session.

We’re excited to introduce some helpful additions to our Appointment Confirmation feature! 💡

Undo Manual Confirmations

Accidentally confirmed an appointment? No problem!

You now have the option to undo manual confirmations for patient appointments—perfect for those “slippery fingers” moments.

This feature lets you reverse confirmations that you've triggered manually.

Note: Undoing confirmations is only available for appointments that are not marked as "Complete" or "In-progress."

New Placeholders Available

We’ve added new placeholders:

ApptTime, ClinicStartTime, and ClinicEndTime.

These can be used to provide precise details for patients.

Feature Update: Notify Patients of Appointment Changes

You now have the option to notify patients if you need to Move or Edit an appointment date or time. Patients will receive an SMS, email, and/or Push Notification from the NowServing app to keep them updated on any changes.

How does it work?

Step 1: Go to your Queue.

Step 2: Select the patient whose appointment you want to change, then click on the (...) icon.

Step 3: Choose Edit/Move Appointment.

Step 4: Make the necessary changes. The option to notify patients will already be enabled, so just click Save to confirm.

How does it look on the patient's side?

Rearrange your queued patients manually to adapt to real-time changes.

Set appointment times for each patient, and use Auto Sort to automatically organize them by time.

Add the Lot Number in Immunization/Vaccination Note

We’ve just rolled out a small but mighty update to help you stay on top of your patients’ immunizations. 🎉

When adding or updating a vaccine in the patient record, you'll notice the Lot Number is included. This makes your vaccine tracking even more complete.

To find the Lot Number:

Step 1: Open any patient record

Step 2: Click on the + icon and choose Immunization/Vaccination

Step 3: Add or select a vaccine from the list

Step 4: The Lot Number will be right there for you to add.
