Quick Fixes for Common Patient Note Issues

Sometimes patients may come back with requests or issues related to their notes, prescriptions, or certificates. Here’s how you can quickly address common situations:

1. Patient’s Name Was Incorrect in the Records

If a patient booked online with the wrong spelling of their name:

  • Open the Patient Record
  • Click the Edit icon and update the patient's information
  • Resend the files (prescription, med cert, etc.) to the patient

The updated notes will now reflect the corrected patient information.


2. Patient Requests a Prescription Again, But the Date is Old
If a patient asks for the same prescription you issued before, don’t resend from the old encounter (this will keep the old date). Instead:

  • Create a New Prescription (click the + icon > Prescription)
  • Use the Represcribe option in the left panel to quickly pull up previously issued meds
  • Send the new prescription to the patient

This ensures today’s date is reflected on the Rx.

💡 Note: Resending directly from an old encounter will always show the date of that encounter. Creating a new prescription guarantees that the Rx shows the correct date.

Here’s how it works:

  1. Issue a lab request through SeriousMD. (Each request comes with a unique QR code.)
  2. Patients present this QR code at Exact Check Diagnostics.
  3. Once scanned, points are automatically credited! 🎁

This means every successful referral to Exact Check Diagnostics not only helps patients get their tests conveniently done, but also rewards them along the way.

Transition Faster with Bulk Patient Upload

If you’re transitioning from paper to digital, there’s no need to manually create each patient record one by one. SeriousMD lets you create records in bulk so you can move faster.

Here’s how:

Step 1: Go to Settings > Account Settings > Manage Patients
👉 Or click here: Import Patients

Step 2: Download the template provided.

Step 3: Fill out the details (fields with asterisks (*) are required).

Step 4: Upload the file by clicking Choose File to Upload.

✨ And just like that your patient list will be imported to your account.


Once the records are set up, you can continue updating them by adding notes, or even by uploading images of your physical files so everything stays organized in one place.

We’ve upgraded how your notes (prescriptions, lab requests, and medical certificates) work to make them safer and easier to use.

What this means for you:

Every note is now verifiable with a unique Security Code.

📱 QR codes are smarter: patients can view, save, and rebook from the same page.

🛡️ Employers can easily validate medical certificates.

⚙️ Using a custom footer? You’ll see the Security Code by default but you can also have the QR code inserted. Just message our Support Team and we’ll help set it up.

👉 Works on web-generated notes, system notes, and with the system footer enabled.

Tips to Manage Your Clinic Schedule with Ease

Running a clinic can get unpredictable, but SeriousMD gives you the tools to adapt quickly. Here are a few real-life scenarios and how you can handle them with ease:

1. Emergency – Need to Cancel Clinic While Patients Are Already Queued

If something urgent comes up and you can’t proceed with your clinic:

  • Create a No Clinic Announcement directly from your Queue.
  • Mark queued patient consults as Cancelled.
  • (Optional) Reschedule patients to a new date to keep things organized.

2. Patient Can’t Make It In-Person, Requests an Online Consult Instead

No problem! You can still switch to virtual while running your clinic.

  • Just Edit the consultation and select Virtual Consult.
  • This gives you (and your staff) a clear indicator that the consult is online.

3. Need to Leave Early & Stop Accepting New Bookings

If you have to cut your day short:

  • Go to Queue > Update Booking Availability.

  • Toggle OFF the clinics you won’t be accepting bookings for today.

  • Save, and your booking links will instantly reflect your updated availability.

✨ With these simple steps, you stay in control—no matter what comes up during the day.

You have the option to include your patient’s photo when you generate a prescriptions, lab requests, and/or medical certificate!

To enable this, just toggle “Include Patient Photo” on the popup before you send or print the document.

Prevent Accidental Edits to your SOAP Note

Want to keep your notes final after reviewing them?

You can turn on the Automatic 24-Hour Sign-Off feature to prevent accidental edits

Here’s how:

  1. Go to Settings > Account Settings > Preferences
  2. Under Notes, toggle on "Automatic Sign Off after 24 Hours"
  3. Click Save

Once enabled, your notes will be locked 24 hours after they're created and no further edits or deletions will be allowed. Perfect for keeping records clean, final, and tamper-proof!
